Submit Manuscript

Due to the difficulties experienced with the timeliness of publication of proceedings of recent symposia, we have decided that we will try a different approach. The manuscripts requested by the Committee for inclusion in the book must be submitted at the time of the symposium in the final version and exclusively electronically, preferably via the web page. (Manuscript on a diskette, or submitted via e-mail attachment is an acceptable alternative). There will be no exceptions. If you believe that your manuscript is very complicated and we may miss something in the process of editing, you may submit also the hard copy of your manuscript. Our target is to ship the proceedings book before the end of 2001 - i.e., six months after the symposium. If you will help us by submitting technically and scientifically perfect manuscript, we can beat this deadline.

Our experience with submitting the abstracts electronically was very good. Majority (87%) of you had no problems submitting the abstract via web page. Some scientists were fighting the attachment of the file via browsing folders and selecting the appropriate file on their computers, but finally all succeeded. (The record persistence was shown by one of your colleagues who made 14 unsuccessfull attempts before he figured it out.) Only four people were not able to use the web page and had to send the abstract as an attachment. (In one case we received 8 Mbytes of information attached to the abstract - apparently the result of virus attack.) Only two manuscripts contained viruses and had to be disinfected. Nobody submitted the abstract by sending the diskette.

However, only about 40% of submissions followed the instructions how to prepare the manuscript and it made our work more complicated than necessary. So, please, help us by going step by step through the following points:

  • Download the manuscript template (MSWord) , or as (not recommended) a manuscript template RTF file right here. (Since we have got some reports about troubles with downloading the template, we added two more versions: MSWord 97 version , and a Macintosh version).
  • After you open the downloaded file, edit it as much as you want. The best way to edit is to write your manuscript in separate file and than copy and paste parts of your text into the template text. Copy Title, authors, affiliations, text, and references separately - in this way you will retain the styles defined in the template and you will actually see your manuscript in the exact form it will appear in the book. You may apply the styles defined in the template by placing the cursor in the appropriate paragraph and clicking the appropriate style (ApsProcTitle, ApsProcAuthors, ApsProcAffil, ApsProcNormal, ApsProcRef).
  • Please, do not change size of the defined page
  • Do not change margins
  • Do not change font definition. (If you will "squeeze in" a little more text by changing the page size, margins and font size, your manuscript will be returned back to you for editing - the net result being only the unnecessary delay.)
  • Use the same style for references as shown in the template.
  • Mark the keywords in the text by underlining the appropriate words.
  • If you want to include chemical structure drawing (and save us a lot of headache), consider using ISIS Draw, which is free for academical and home use, and can be downloaded from this site. (By the way, you will love this drawing tool!) Paste your drawing to the text of your abstract.
  • When you are satisfied with your abstract, save it under the name of your choice, e.g. "SmithAB.doc" in the format of MSWord (PC version - for Macintosh users)(all text editors have the option to save file in this format - just choose "Save as type"). (We understand that some of you hate Microsoft, but for the sake of smooth processing of hundreds of files, please, help us by overcoming your feelings for once.)
  • Fill all information in the form below. Unfortunately, if you are submitting more than one abstract, you have to fill separate form for each one. However, fortunately, you can just go back from sending one form and change the title, attach another abstract, and resend the form.
  • After you submit the manuscript, open the copyright transfer form, print it out and proceed as instructed on the form.
